OneDrive is more than just storing your files in Microsoft’s secure cloud service. As we covered in our last blog about ways to maximize your OneDrive Account, there are several ways to make the most out of your OneDrive and flex its collaboration abilities to the best you can.

Today we are going to Cover 5 MORE Ways to Maximize your OneDrive Account.

  • Use Files On-Demand for your most needed files. If you have documents that you need access to but do not want to take up space on your device, then OneDrive’s Files On-Demand feature could work well for you. Files On-Demand shows all of your files in your File Explorer just like offline documents would, though new files created online or on another device appear as online-only documents that do not take device storage space. As long as you are internet-connected, you can edit those files and can also download them for offline use at any time. (Files on Demand requires Windows 10 version 1709 or later to function.)
    • Make sure you have the OneDrive App installed and set up on your computer.
    • Sign-in to your OneDrive Account (Or Microsoft Account).
    • Select the OneDrive cloud icon in the bottom taskbar (you may need to Show Hidden Icons) for it to appear.
    • Choose More, then Settings.
    • Choose Save space and download files as you use them, to enable Files On-Demand.
  • Access previous file versions. It can be frustrating when you accidentally save over an original document or if anyone you collaborated with made a mistake in editing. OneDrive has the ability for you to roll back to a previous version of your files in case this happens.
    • Right-click your file and choose Version History.
    • Choose the previous version of the file you wish to restore.
    • Don’t forget that you can still restore from the Recycle Bin if a file was trashed by accident.
  • Manage your sharing the right way. There are several different ways to share your OneDrive files and documents, many cases not requiring the recipient to have a Microsoft account. However, verify that the recipient is someone you trust before allowing them access and/or the ability to edit your files.
    • Right-click on the folder and select Share or hover over the icon to for the checkmark option to appear, then select Share from the tool tray.
    • Choose if you want to allow the recipient to make edits or not.
    • Choose Get a link and URL to the file or folder will be created and can be copied.
    • You an also email the link to the recipient by selecting Email, adding the email address and an optional message.
    • You can disable the share at any time by repeating the first two steps, then disabling the link.
  • Easily save attachments from Outlook. If someone sends you an attachment though an email and you are using Outlook, if your OneDrive is active, you can easily save the attachment to your OneDrive for access later.
    • Find the attachment you wish to send to your OneDrive.
    • Right-click or click the down arrow on the attachment and choose Upload, then OneDrive. On mobile versions, a Save to OneDrive button should appear instead of this.
    • Files are stored in a special folder in OneDrive by default.
    • Always verify and scan attachments for viruses before opening and before sending to your OneDrive.
  • Use your Android home screen for OneDrive links. If you are using OneDrive on an Android device, OneDrive has a function that allows you the create a Widget on your home screen for direct access to specific folders in your account.
    • Create a new Widget by holding your touch on an empty area of your phone screen. (these first two steps may vary depending on your version of Android)
    • Select the option for OneDrive.
    • Select the folder you wish the Widget to access.
    • You can make as many widgets as you like until the screen is full.
